Payment terms: Net 20 days from the date of the event. In case of late payment, an interest supplement will be charged, currently at 18% per annum (1.5% per month). A reminder with interest demand and a reminder fee of DKK 100.00 will be sent after the due date. We accept payment by the following credit/payment cards: Dankort, Eurocard, Mastercard, Visa, American Express, and Diners.

Cancellation policy: You can freely cancel your event up to 60 days before the scheduled start date without incurring any costs. However, there is a 90-day cancellation deadline for events that occupy more than 50% of the hotel's capacity (over 215 rooms). A fee equivalent to 25% of the ordered event is charged in such cases. In case of cancellation less than 60 days before the scheduled start date, a fee of 50% of the ordered event is charged. If cancellation occurs less than 30 days before the scheduled start date, a fee of 75% of the ordered event is charged. If cancellation occurs less than 3 days before the scheduled start date, a fee of 100% of the ordered event is charged. Important: Cancellation fees are a "compensation amount" and are not a VAT-liable service – cancellation fees are always calculated on the confirmed amount including VAT.

Cancellation is understood as cancellation, reduction, shortening, relocation, and similar significant changes compared to the confirmation. Cancellation must always be done in writing. However, cancellation/reduction up to 5% of the confirmed number of participants can be done without cost up to 3 days before the start of the event.

Cancellation fees/compensation are waived to the extent that the relevant capacity is sold to another party.

Exhibitions, etc.: Nyborg Strand is not responsible or liable for the exhibited goods and exhibition materials and cannot be held responsible for any kind of damage, loss, destruction, or similar. This applies in every respect, both accidental and non-accidental cases, including cases where exhibition goods are handed over to and/or stored at Nyborg Strand, before, during, and after the exhibition.

Exhibited goods and exhibition materials are therefore the responsibility and risk of the exhibitor or purchaser in every respect and are thus irrelevant to Nyborg Strand. We encourage the purchase of liability insurance and/or regulation of responsibility for exhibited goods and exhibition materials in the internal contract relationship between the exhibitor and the purchaser.

If an organizer wishes to bring valuable belongings in connection with an event, Nyborg Strand is not responsible or liable for them and cannot be held responsible for any kind of damage, loss, destruction, or similar.

Confirmations in general: All orders are valid and binding upon receipt of written confirmation from Nyborg Strand. If you have any questions regarding the above, please feel free to contact the conference department at tel. 65 15 05 51.

Room Reservations

Billing to foreign countries is only accepted with payment by voucher. An invoice fee of DKK 100.00 per invoice is added for individual billing.

For reservations of 1–5 rooms, free cancellation is allowed without charge until 6:00 PM the day before arrival. Cancellation later than 6:00 PM the day before arrival is considered a no-show, and full payment will be charged. If you have booked a non-refundable stay, we will withdraw the money from your account immediately, and there is no option to cancel.

For reservations of 5-20 rooms, free cancellation is allowed up to 5 days before arrival. After this period, full payment is required.
