Which information do we collect about you when you visit our website?
We only collect the personal information that you consent to provide when visiting our website and performing an action that requires information from you.

This could include filling out a contact form or sending us an inquiry where we need to know your name, email, and possibly the company you represent.

Likewise, you provide personal information when booking a stay or purchasing a gift voucher through our website, where you need to fill in the following:

Name
Address
Postal code and city
Email

This information is necessary for us in order to handle your booking and/or inquiry.

In addition to the above, we collect information about your activity on our website www.nyborgstrand.dk if you have given consent. You can read more about this under cookies.

Where are my personal information stored?

The information is securely stored on Nyborg Strand's servers in Denmark, and you always have the opportunity to request access to the information we have registered about you.

Some personal information is managed by a third party who acts as our data processor. They store and process personal information on behalf of Nyborg Strand in accordance with this privacy policy and the applicable data protection legislation.

When booking a stay or purchasing a gift voucher online, it is done through our booking/CRM system, Spectra, with whom Nyborg Strand has a data processing agreement. They securely store your information, and 12 months after booking a stay or purchasing a gift voucher, your information is automatically deleted from their server.

How do you protect personal information?

In accordance with the rules of the General Data Protection Regulation (GDPR), we have entered into data processing agreements with the third parties we collaborate with to ensure that they have the necessary technical and organizational security measures in place to prevent leakage of your personal information. Additionally, we have created detailed manuals and descriptions internally that outline the rules for storing personal data. This means, among other things, that we do not store information about you on non-secure servers or in locations accessible by anyone other than Nyborg Strand.

Social media services

Our website includes media features such as Facebook, Linkedin, and Instagram, which have their own privacy policies.

We encourage you to read their terms and conditions and privacy policies before providing personal information, as we do not assume responsibility or obligations for these services or features.

Processing of personal information about guests, contacts/event bookers, and suppliers

The personal data we collect and process about you as a guest, contact person, or supplier is used in connection with hotel bookings and/or meetings/conferences, as well as customer administration to ensure that we fulfill the agreement you have entered into with Nyborg Strand. Furthermore, they are used for invoicing purposes and handling creditors. All information is securely retained in our IT system.

In accordance with the Immigration Order and the Passport Order, we are required to register certain information about our guests. For foreign guests, this information must be kept for a minimum of 1 year and a maximum of 2 years, while for Danish guests, it must be kept for 1 year.

What information do we collect about you as a contact person for a company/event booker?

Name, address, phone number, and email address

If you fill out an evaluation form after your visit, it will be stored for subsequent use by the respective hotel. A selected group of employees at Nyborg Strand have access to these forms, and they will not contain sensitive personal experiences in the information they see.

Special information about you as a guest

If you inform us about a special condition during your visit, such as allergies or dietary preferences, this information will be stored along with the other information in your booking.

If you send sensitive personal information to Nyborg Strand, you should encrypt it if you use email.

Sharing of personal information

As a general rule, the information will not be disclosed to third parties unless necessary to fulfill an agreement with you.

According to the law, we are entitled to disclose information to the police in cases of fraud.

Handling of personal information in connection with recruitment

When applying for a position at Nyborg Strand, the personal information you have provided in connection with your application is registered. We do not store applications unless you have given consent to do so. When you submit an application through the Emply system, all information is stored by this third party, with whom Nyborg Strand has a data processing agreement.

Only a limited number of employees have access to this information.

If references are obtained, we do not retain them after the end of the recruitment process. Applicants who receive a rejection from us will have their application deleted within 6 months after the application has been submitted.

Video surveillance

Nyborg Strand conducts video surveillance in various areas of the hotel, such as the entire parking area, for the purpose of deterring unauthorized guests, preventing theft, and ensuring the safety of employees and guests. We comply with all applicable rules and requirements for the storage and use of these recordings, and they will only be accessed in case of suspected criminal activity. Only a few employees at Nyborg Strand have access to the recordings. The recordings may be provided to the police or others if required by law.

Your rights

According to the General Data Protection Regulation (GDPR), you have a number of rights that you can exercise at any time to access the information we have about you and how it is stored.
